Founded in 1907, The Caravan and Motorhome Club is Europe’s biggest touring community, helping caravanners, motor-homers and campers access over 3000 stunning locations in the UK and Europe.

 

Problem

The total cost of providing a printing and fax service at the 162 Club sites was uncontrolled and the total spend was not well known.

The Solution

It was clear that the system in place was in need of some re-organisation and that a full Managed Print Service would be the ideal solution taking the business forward and aligning to any future site strategy. The proposal was to replace all of the site’s printers and faxes with a single all-in-one printer capable of printing, copying and faxing.

The solution proposed made an overwhelming financial argument with return on investment as early as in the 3rd year of the 5 year proposed cycle. All sites are now equipped with the same A4 multi-functional print devices (MFD), These devices provide fast printing, scanning documents to email, the facility to copy and an internal fax modem should this feature be required.

Better machines

Replacing the Caravan and Motorhome Club’s printer fleet with the Environmentally Friendly Brother MFC-8950DW multifunctional devices saved time immediately. Newman provided staff training on the new machines’ copying, scanning, faxing and scan-to-email capabilities.

Print management

By putting in place a managed print service agreement we have removed the hassle of ongoing monitoring and maintenance. This means that the Club now only pays for what it uses on a per-printed page basis and for paper. Repairs, advice, monitoring and cartridges are included in a single consolidated quarterly fee. “A managed print solution was not rocket science”, says Justin.

The solution has realised the following benefits:

  • All sites have been equipped with a new Environmentally Friendly Brother MFC-8950DW A4 multi-functional print devices (MFD) delivering better functionality and efficiency
  • By adopting the proposed MPS, Brother UK have taken control of escalating site printing costs
  • The site will contact Brother UK direct when service or toner is required
  • The service agreement agreed is for 60 months. This will be full service support, including all parts, labour, call outs and toners.
  • The Club will get visibility of the total cost of printing at all UK sites
  • The MPS will provide regular management information and issue a single invoice per region.
